College life is one of the most exciting years of our lives and College fests are a vital part of those years. Every year each college organizes a cultural event that is a two-three day occasion including a ton of activities and extravagant performances. This involves a lot of planning and management.
This year I am the chief coordinator for our three-day Cultural Festival, which is supposed to take place two months from now. The three-day Cultural Fest includes a concert, a carnival, and competitions organized by different societies. All these events are extremely exciting and extravagant involving a lot of music, dance, drama, food, and activities. As a chief coordinator, my prime responsibilities are to coordinate with the committees made for different events and also make sure all the payments and arrangements take place in time so that there is no chaos on the final day.
The first thing to do while planning a big college event is to decide a budget and get it approved by the college authorities and office. We also need sponsors for the competitions and other events, for getting sponsors and we make a proposal which includes the overview of the three-day event and all the benefits the sponsors will be given. For the next 1 month, our sponsorship committee will try to get as many sponsors as possible so the events are more extravagant and well funded. The next big thing to do is to approach bands and singers for the concert. For this year's concert, we have already approached two famous indie bands which have a huge youth following the confirmation is yet to come in the following week. This year we are organizing more than 40 competitions including dance, music, drama, debate, and many other exciting and intriguing competitions. The next big part of organizing an event is to create promotional campaigns and spread the word around all the colleges about the events happening in this year's fest so that we can gather a maximum crowd and have a successful cultural fest. For the promotional campaigns, I created different groups, the main objectives for these groups are- to create posters and videos for digital promotions, send invitations to different colleges for participating in different events, and bring maximum engagement to the event. Finally, we also created invitations for the chief guest of this year which is Shri Govind Mohan, the Secretary of the ministry of culture, India. We got a confirmation email yesterday from the ministry confirming his presence.
Organizing this event has helped me to boost my confidence and has made me believe in my leadership skills. As a chief coordinator, my role has helped to build a good student network which is very important for my development and has given me a lot of exposure to explore new skills in me. Managing such a large group has taught me a lot about patience and teamwork. I hope the cultural fest which is to take place from the 3rd-5th march happens smoothly and all the hard work of our team is worth it.
